Use of The Rhode Island Foundation’s rooms, pricing, and these policies refer to nonprofit and/or governmental use of One Union Station only. Others may contact the Foundation for other usage, which will be determined on a case-by-case basis. The Foundation reserves the right to determine appropriate use by an organization.
While the Foundation will do all we can to make your gathering a successful one, we are not a function operator: The Foundation does not provide valets, parking, food preparation, catering, bartenders, liquor licenses, or reception services. We only provide audio/visual equipment, computers, and other materials as available and there is a rental charge. We will make available basic furniture and set up within reason.
To receive nonprofit rates or free use of One Union Station, nonprofit organizations must provide a copy of their IRS 501(c)(3) determination letters indicating current nonprofit status.

- The organization is expected to be self-sufficient (i.e. providing its own supplies) and is responsible for all set-up, clean-up, food preparation and service, and equipment rental. (The Foundation has modest equipment for rent. Click here for additional information.)
- The set-up/clean-up/catering service time must be included in total time reserved.
- Weekday evening receptions on the second floor cannot begin set up before 5:30 p.m. without special approval of the President. Music cannot begin until after 6:00 p.m.
- Alcoholic beverages are permitted for evening functions, but only under a license (Class F-Full; Class F-Limited) obtained by the organization from the Providence Board of Licenses for the approved event, with whatever restrictions the City outlines. The City also requires an entertainment license when applying for a Class F liquor license. If your caterer has obtained a Class P liquor license issued by the RI Department of Business Regulation, it must be currently valid to cover the date of the function; copies of the license must be provided.
- The entire Rhode Island Foundation is a “non-smoking” facility.
- A signed, written contract is required. It outlines all responsibilities on behalf of both parties.
- The organization is ultimately liable for any damage or injuries caused by its actions or neglect.
- An organization should not use the name “The Rhode Island Foundation” or in any way imply Foundation sponsorship in any of its function publicity unless it has obtained our prior consent.
- The Rhode Island Foundation does not provide or validate parking. The following parking areas are within close proximity to our building:
- Union Station Plaza Parking Garage at Courtyard by Marriott Hotel
- RI Convention Center Parking Garage
- Biltmore Providence Hotel Parking Garage
- One Citizens Plaza Parking Lot
- Providence Place Mall Parking Garage
Note: Union Station Plaza’s open lot is only available for local area restaurant patrons and monthly customers.
